Complete walkthrough of Spectora for office staff. This is the core system used for all bookings, inspector assignments, and report delivery.
Spectora is a cloud-based property inspection management platform. Dubai Property Snagging uses it to manage the full inspection lifecycle — from booking and scheduling through to report delivery and payment. You will use Spectora every day as an office staff member.
Log in to Spectora
Go to spectora.com and sign in with your staff credentials provided by your manager. Use Google Chrome for best performance.
Open the Scheduler
- Click Scheduler in the top navigation bar
- Click the New Inspection button (top right, blue)
Select inspection type
- Handover inspection — new property being received from developer
- DLP (Defect Liability Period) — within the warranty period after handover
- Resale inspection — second-hand property being bought or sold
- General snagging — punch list for existing properties
Enter client details
- Full name, phone number with country code (+971…), email address
- WhatsApp number if different from the phone number
- Search existing clients first to avoid duplicate records
Enter property details
- Developer name (Emaar, DAMAC, Aldar, Meraas, Sobha, etc.)
- Project / building name, unit number, floor, area in sqft
- Location / community (Downtown, JVC, Business Bay, etc.)
Set date and assign inspector
- Choose date and time from available calendar slots
- Select an available inspector from the inspector dropdown
- Spectora auto-sends a booking confirmation email to the client
- Send the client a WhatsApp confirmation as well
- Check the Team Calendar view before assigning — never double-book an inspector
- Each inspection takes 2–4 hours depending on property size (studio = 2h, 3BR+ = 3–4h)
- Assign the inspector geographically closest to the property where possible
- Notify the inspector via Spectora message AND WhatsApp group after every new assignment
- If an inspector cancels last minute, reassign immediately and call the client to inform them
- Always send a 24-hour reminder to both the client and the inspector the day before
- Inspectors upload findings and photos from the Spectora mobile app directly on-site during the inspection
- Once the inspection ends, job status changes to Report Pending — office staff are notified
- Review the report: check all defects are logged, photos are clear and labeled, summary matches findings
- Upload the finalized PDF to the job record in Spectora under Attachments
- Click Deliver Report — the client receives a secure, branded report link by email automatically
- Send the client a WhatsApp message to let them know the report is ready
- Mark job status as Complete once the report is confirmed received by the client
- Send quotations directly from Spectora — the client receives a professionally branded quote with a payment link
- Clients can pay online via card or bank transfer through the Spectora payment portal
- Always confirm payment status in Spectora before dispatching an inspector
- Invoices are auto-generated in Spectora — download and forward if the client requests one
- If a client pays by bank transfer, upload the transfer receipt to their job record as proof
